Overview
What does Vero Membership Management do?
Vero Membership Management runs an association's membership online: applications and approvals, membership categories, renewals and billing, events, communications and committee reporting. Ants Creation builds and supports it for associations, clubs and professional bodies in Sri Lanka, so administrators stop chasing renewals by hand.
Applicants apply online and upload documents; the secretariat verifies, finance confirms payment and the committee approves where the rules require it. Members then manage their own profiles, payments and documents through a self-service portal, while renewals, invoices and reminders run on schedule.
Recent systems delivered on Vero Membership Management include those for the Chartered Institute of Personnel Management (CIPM) and the Sri Lanka Association of Printers (SLAP). Our published case studies cover two more: the South Asian Association of Parenteral and Enteral Nutrition (SAPEN) and the Association of Ex-Planters Sri Lanka.

Member cards and security

Yes. Vero Membership Management issues QR member cards and certificates, and protects sign-in with two-step login, alongside the member self-service portal.
QR member cards
Member cards carry a QR code, used to recognise members and record attendance. In SAPEN’s system, delivered on Vero Membership Management, digital membership cards are generated with each member’s details and validity.
Certificates
Certificates are issued from the same system that holds each member’s record, category and payments, and can be issued automatically to participants after a live webinar.
Two-step login
Two-step login protects both member and administrator accounts, adding a second step at sign-in to guard the member records behind them.
Member self-service
Members update their profiles, view their payments and download documents through the portal, so the secretariat handles fewer routine requests.
Common questions
Vero Membership Management: frequently asked questions
What does a membership management system do?
It runs membership administration online, including applications, approvals, categories, renewals, payments, events and communications, with a self-service portal for members. Vero Membership Management adds QR member cards, certificates and two-step login, and runs the systems of CIPM, SLAP, SAPEN and the Association of Ex-Planters. Our guide What is a membership management system? explains more.
Can members apply and pay online?
Yes. Applicants complete an online form, upload documents and pay online, or upload proof of a bank transfer for finance to verify. The secretariat verifies the application, finance confirms the payment and the committee approves where your rules require it, and every step is recorded, so each decision can be traced later.
Can different membership categories have different rules?
Yes. Each membership category in Vero Membership Management can have its own documents, fees and approval stages, configured to your constitution during setup. A professional body can ask for different documents and approvals for each grade of membership, while a club keeps a simpler process, and renewal invoices follow each category’s fees.
Can renewals and reminders be automated?
Yes. Renewal cycles, invoices and reminders run automatically in Vero Membership Management, and statuses update as members renew, so the secretariat stops chasing renewals by hand. Members renew through the self-service portal, paying online or uploading bank transfer proof for finance to verify, and committee reports show membership growth and retention.
Can we import our existing member list?
Yes. Records are cleaned, de-duplicated and imported with existing membership numbers, and members are invited to activate their accounts. The secretariat and finance go live first, then members are invited to the portal, where sign-in is protected by two-step login and members update their profiles, view payments and download documents.
Can members update their own details?
Yes. Through the self-service portal, members update their profiles, view payments and download documents, so the secretariat handles fewer routine requests. Sign-in is protected by two-step login, and Vero Membership Management also issues QR member cards and certificates from the same member record.
Can the system manage events?
Yes. Event listings, ticketing and attendance records are part of the events module, linked to member records, so the secretariat can see who registered and who attended. The Association of Ex-Planters Sri Lanka, for example, lets its members RSVP to events online through its system on Vero Membership Management.
Is Vero Membership Management cloud-based or on-premise?
Both. Vero Membership Management can run in the cloud or on your own servers, and the choice is agreed during discovery, based on your locations, connectivity and IT policy. Either way, it is configured and supported by Ants Creation’s own team, and you can export your member records and other business data at any time.
Can members get a digital membership card?
Yes. Vero Membership Management issues QR member cards from each member’s record, used to recognise members and record attendance. SAPEN’s system, delivered on the platform, generates digital membership cards with member details and validity. The self-service portal, protected by two-step login for members and administrators, lets members update their profiles, view payments and download documents.
How much does Vero Membership Management cost?
It depends on the project: Vero Membership Management is priced per module and per project, and offered as a one-time licence or as a subscription. The quotation is free and follows discovery, once your categories, workflows and number of members are clear. Whichever model you choose, you can export your member records and other business data at any time.
How is the secretariat trained on Vero Membership Management?
Training for Vero Membership Management is usually delivered online, with recorded sessions that new staff can return to later. During the rollout, the secretariat and finance go live and are trained first, then members are invited to the portal, and events, communications and reporting follow. The training format is confirmed in the proposal.
Who supports Vero Membership Management after launch?
Ants Creation’s own team, which builds Vero Membership Management and has delivered it for CIPM, SLAP, SAPEN and the Association of Ex-Planters Sri Lanka. Every project includes a six-month bug-fixing warranty after go-live, then ongoing support and maintenance under a service level agreement (SLA) or an annual maintenance agreement, with fees and scope agreed separately.
Can certificates be issued automatically after a webinar?
Yes. Vero Membership Management can issue certificates automatically to participants after a live webinar, from the same system that holds each member’s record, category and payments, so the secretariat does not prepare them one by one. Members also carry QR member cards, used for recognition and attendance, and sign in with two-step login, which protects administrator accounts too.
